I. Authority for Committees

II. Appointment of Committee membership
A. All members are appointed by the president
B. Members may be any employee of an institutional member when such appointment is authorized by the institutional representative
C. Guidelines for both number of members and length of service may be set for the president by the Board of Directors
i. Traditional practice is to appoint all members for a three-year term and stagger appointments in such a way as to provide optimal continuity.
ii. Traditional practice is to ask a person who has been a prior member of the committee to serve as chair of the committee if needed.
III. Charges to Committees
A. Except for the Board of Directors, there is not a formal charge stated in AAVMC foundation documents
B. Traditional Practice is to allow basic committee charges to be carried forward from year to year, but should be updated as needed. The president and/or the Board of Directors may add appropriate short-term charges on an annual basis.
IV. Meetings of Committees
A. Meetings are called by the chair and may be either on-site or conference call meetings.
B. Any expenses to be generated in meeting should be cleared with the treasurer prior to such meeting. Major expenses must be approved by the Board of Directors before they may be authorized by the treasurer.
V. Reports to the Committees
A. Each committee should submit a proposed budget for the next fiscal year to the treasure prior to May 1. Failure to submit a budget request may reasonably be construed to mean that no request will be made.
B. Each committee should submit an annual report to the Board of Directors at least a month before the annual meeting and such report should contain appropriate recommendation for action by the Association.
